
Prepare a shared evidence pack
Send the reporting period, metric definitions, affected orders and open corrective actions before the discussion. Distinguish verified findings from unresolved complaints. Include changes in product mix or order volume so that both sides understand what the trend actually represents.
Review causes and previous commitments
Start with unresolved high-impact issues. Ask whether the earlier action was implemented, whether evidence demonstrates effectiveness and whether another batch shows recurrence. Training attendance or a signed form can show activity; it does not alone prove that the process now prevents the defect.
Close the meeting with measurable decisions
Record the action owner, affected products, completion date and verification method. Agree what happens if the result is late or ineffective. Illustrative case: a revised packing instruction is due before the next order; verification should inspect actual packed goods and the issued instruction revision, not just an emailed draft.
