Understand the service in detail
A sample is often the reference for a much larger order. Sample checking helps you compare a supplied sample with the design, specification or agreed reference before approval. TTS can document appearance, materials, construction, measurements and agreed functional observations so differences can be discussed with the supplier. It is useful for remote buyers who need a clear view of a sample without travelling, and for teams comparing a revised sample with earlier instructions.

01Identify the version
Record the sample model, date, drawing revision, material information and accessories supplied.
A sample without a version or construction record can be difficult to match to later production.
02Measure against a specification
Use defined measurement points, units and tolerances. Record actual values rather than only an overall pass/fail mark.
Measurements provide a repeatable reference for future inspections and supplier discussions.
03Examine use and assembly
Review operation, fit of parts, accessory completeness, surface finish and assembly instructions within the agreed scope.
Separate a design concern from a manufacturing defect; each requires a different supplier response.
04Document approval conditions
List accepted features, requested changes and tests still needed; identify the final retained reference.
Conditional sample approval should not be mistaken for unconditional approval of a future bulk order.

Illustrative example: a household item has the correct finish but an accessory does not fit consistently. Record the interface dimensions, assembly sequence and the accessory version. The sample decision can approve the finish while keeping fit and function open for correction. A revised sample should be clearly identified so production does not revert to the earlier version.

Practical questions
Does sample approval prove bulk production will be identical?
No. Materials, tooling and production controls must carry the approved features into the order. Use PPI, DUPRO or PSI where evidence is needed at later stages.

Yes, identify both versions and the changes requested so the comparison can focus on the relevant features.
