Use the right evidence at each end
Pre-shipment inspection provides evidence while supplier rework may still be practical. Destination checks establish received quantity, packaging condition and product condition after transport. Neither timing is automatically better for every order; access, deadlines, fragility and the planned acceptance decision matter.
Preserve identity across transport
Use carton marks, batch codes, packing lists, seal numbers and dated condition photographs. Record opened, replaced or damaged packaging on receipt. A comparable record helps distinguish an observed change from a claim, although assigning transport liability requires the contract and the relevant evidence.
Plan the response before an exception
Illustrative case: cartons arrive crushed although loading photos show intact outer packaging. Segregate affected units, record container and carton condition and assess product damage. Keep the original documents and notify the responsible parties through the agreed process; do not assume that a passing pre-shipment sample resolves the receiving issue.
