
Translate appearance into requirements
Define materials, dimensions, colour references, performance and packing details. Specify how the brand mark should appear, including position and approved artwork revision. A catalogue photo or verbal promise is rarely precise enough to resolve a disagreement about a production batch.
Control changes to the golden sample
Identify and retain the approved reference, then record every authorised material, component or artwork change. Check whether the change affects testing or certification evidence. A supplier proposal is not an approval; keep the buyer’s decision, effective order and revised specification together.
Follow the defect back to the promise
Illustrative case: a cheaper closure looks similar but is harder to operate. Compare the approved sample, user instructions and measured function; identify affected orders. Use findings to agree correction and strengthen incoming checks for that component rather than merely replacing the photographed unit.
